An AI chatbot for a website is a chat window powered by a language model that answers visitors' questions in natural language, asks the right follow-up questions, and passes qualified enquiries to your team. Unlike a menu-based bot, it understands free-form questions. Done well, it answers out-of-hours questions and turns anonymous visitors into leads with names and contact details.

## What an AI website chatbot actually does

A good chatbot does four jobs, and it is worth being clear about which of them you need before you pick a tool or hire anyone.

1. **Answers questions** about your products, services, availability or process, using content you provide.
2. **Guides the visitor** toward a decision, such as picking a package or booking a call.
3. **Captures contact details** when the visitor is ready, usually name, phone or WhatsApp number, and email.
4. **Hands off** to a person with a summary, so the first call starts with context instead of from zero.

If you only need the first job, a good FAQ page may do the same work for less. The chatbot earns its place when the conversation itself helps someone decide.

## How it works under the hood

The visitor types a message. Your server adds instructions (the persona and rules), relevant knowledge from your own content, and the conversation so far, then sends it to a language model. The reply goes back to the chat window. Your system also watches for the moment to ask for contact details, and saves the lead.

The part that decides quality is not the model. It is what surrounds it:

- **The persona and rules**, written in plain language: tone, what to avoid, when to hand off.
- **Your knowledge**, loaded on demand. Sending your whole business into every message makes answers vaguer and costs more. Loading only the relevant topic keeps answers accurate and prompts small.
- **Guardrails** such as per-visitor rate limits, no price quotes unless you want them, and safe handling of off-topic requests. See [what an AI chatbot should never say](/blog/chatbot-guardrails-what-ai-should-never-say).
- **The hand-off**, so the lead lands in your CRM or inbox in a usable form. See [how to hand chatbot leads to your CRM](/blog/chatbot-leads-to-crm-handoff).

## A real example: Moonlight

We built Moonlight, the AI trip planner inside Trripah. It runs on Claude with a written persona, a knowledge base of 65 destinations loaded only when that destination comes up, and a lead-capture step that triggers once the itinerary is final. It deliberately never quotes prices, because pricing stays with people. You can read how we built it in [How we built Moonlight](/blog/how-we-built-moonlight-ai-trip-planner).

## What to plan for before you build

| Question | Why it matters |
|---|---|
| What is the one outcome (lead, booking, answer)? | Decides the whole conversation design. |
| What must the bot never say? | Prevents wrong promises and legal trouble. |
| Where do leads go? | A chatbot with no hand-off is just a toy. |
| Who reviews conversations? | Real transcripts are the best source of improvements. |
| What does it cost to run? | Model usage is billed per conversation, so volume matters. |

## When a chatbot is not the right answer

If your visitors mostly ask three or four repeat questions, a simple rule-based bot or a clear FAQ is cheaper and more predictable. See [rule-based bot vs AI chatbot](/blog/rule-based-bot-vs-ai-chatbot). Use AI when the questions are varied and the quality of the conversation affects whether someone becomes a customer.

## How to start

Start small. Pick one page or one use case, write the persona and rules, connect one hand-off path, and read the first 50 real conversations before expanding. If you want help, our [AI and intelligent automation service](/services/ai-intelligent-automation) covers design, build and hand-off.

## FAQ

### What is an AI chatbot for a website?
It is a chat window on your site that uses a language model to answer questions in natural language, guide visitors and collect their contact details for your team.

### Is an AI chatbot better than live chat?
They solve different problems. Live chat needs a person online. An AI chatbot answers any time and can hand off to a person when needed. Many businesses use both.

### Will an AI chatbot give wrong answers?
It can, which is why it needs your content as its source, clear rules about what to avoid, and a review of real conversations. Guardrails reduce the risk but do not remove it.

### How long does it take to build one?
A focused first version can be live in weeks, depending on how much knowledge it needs and where the leads must go. We agree scope in writing before building.
